4 Must-Do Speech Therapy Caseload Organization Tips for the End-of-the-Year
As a speech-language pathologist, you know that managing a large caseload is a daunting task. Not only do you have to keep track of all the students and their progress, but you also have to juggle scheduling, paperwork, and communication with other professionals and parents.
While there is a lot of focus on caseload management and organization to start the year, I would argue that working on 4 things at the END of the year will alleviate some of the fall stressors.
As the year’s end approaches, it is important that school-based speech therapists do these 4 speech therapy caseload organization tasks to set themselves up for success in the upcoming year.
Let’s manage your speech therapy caseload effectively from one year to the next to set you up for success in the fall! End Strong - Start Strong!
4 Caseload Management Tips
Update your Caseload List
Update your master student list spreadsheet to include current IEP and evaluation due dates, the next grade, and the amount of service a student will receive.
Leave the teacher’s name and classroom blank.
By making these updates to your caseload data and spreadsheet you will only need to add move-ins when the year starts.

2. Reexamine your Speech Therapy Data Collection System
Does it have a calendar?
Does it have an activity log?
Does it auto-fill your progress report data for you?
Is it self-graphing?
If you answered ‘no’ to those questions you should check out a digital system that does all those things!

3. Update Data Sheets - Create Next Year’s
If your data sheets run from school year-to-school year, create your new ones WHILE you are doing your end-of-the-year progress reports.
This allows you to add your 3rd trimester/4th quarter progress data into your data sheets. This lets you know if a student has regressed when the year starts.
If your data sheets run from IEP year to IEP year, be sure to highlight the data reported on the last progress report so you know if a student regressed.
4. Organize Your Most Commonly Used Materials
I think you will find that digital organization is more important than physical organization!
While it might be easier to shove things in a random place on your cloud or in your drawer, taking time to declutter and organize will help you find what you need in the fall.
While you organize what you do use, purge what you no longer need!
Your future self will thank you for doing these 4 speech therapy organization and caseload management tips!
